Introduction

Harambee is a social enterprise that focuses on connecting unemployed young people with job opportunities. Harambee aims to address youth unemployment by providing training, skills development, and job placement services.


Problem

Harambee encountered operational challenges in its day-to-day activities, particularly in managing its talent pool registrations of about 3.8 million work-seekers supported. The use of Excel sheets for this purpose led to issues of duplicate entries, resulting in inaccuracies in reported numbers. Additionally, navigating through the Excel interface posed difficulties, obstructing effective data tracking and analysis.


This hindered the organization's ability to accurately assess and communicate the impact of its initiatives. To address these challenges, there was a need for a more sophisticated and streamlined data management system to enhance accuracy, efficiency, and the overall effectiveness of Harambee's programs.

Solution

In response to the challenges encountered in talent pool management, the team embarked on a comprehensive and transformative journey to introduce a solution by introducing a dedicated platform for talent registration. This strategic initiative addresses the issues of duplicate entries and data inaccuracies, providing a streamlined and efficient system for both talents and Harambee.


Process

  1. Auditing the existing processes:

    We started by auditing and analyzing the current work-seeker registration process and pointing out the existing loopholes and pain points to both the work-seekers and Harambee team.


  2. Defining objectives and goals of the system

    Highlighting the main objectives and use cases to drive the digitalisation of the Harambee processes


  3. User Research and identification clustering

    We continued by identifying and grouping the types of users depending on their roles and needs to better tailor the solution to its actual users


  4. Low fidelity wire-framing and validation

    Before diving into the actual prototype, we first created low fidelity mockups to validate the solution we are providing, and test it according to real scenarios.

  1. Easy Registration and Application Process:

    The platform empowered talents to register, view and apply for opportunities online, streamlining the application process and enhancing accessibility for job seekers.


  2. Efficient Tracking of Impact:

    For an organisation such as Harambee, it is important to track the impact being made to communities. A centralized data and interactions on the platform enabled Harambee to easily track and measure its impact, particularly in connecting job seekers to employment and trainees to relevant training programs.


  3. Operational Efficiency:

    The introduction of the platform improves overall operational efficiency by providing a user-friendly interface for both talents and Harambee staff, optimizing workflows and reducing administrative burdens. This innovative approach significantly improves operational efficiency, data accuracy, and impact assessment capabilities for Harambee.
